Learn how Link works

Your team works in Notion. Your clients see Link. Here is how the two connect.

Notion is where you work

Your team keeps clients, projects, people and project pages in your copy of the Link template in Notion. Link reads that copy and turns it into a branded portal for each client. Clients never need Notion.

Workspace, clients, projects and pages

PieceWhat it is
WorkspaceYour studio: its name, brand, Notion connection and people.
ClientA company you work for, holding the projects you share with it.
ProjectOne piece of work, with a status, dates, people, an estimate and a page.
PageA page inside a project, such as a brief or a handover. It has its own visibility.

Every client, project and page has a Link

A Link is a short address such as using.link/Ab12Xy. Clients get codes like 53sdLT; projects and pages get codes like Ab12Xy. A code stays the same when you rename what it points to.

A Link is an address, not a key. Whether it opens depends on the page’s visibility and on who is signed in. Link writes each client’s and project’s address into the Open Link property in Notion.

Private and public

Clients, projects and pages start private. A private Link asks for sign-in with an email that has access. A public Link opens for anyone who has it. Each page has its own setting, so publishing a project does not publish the pages inside it.

Project statuses

A project’s status comes from its Status property in Notion. Link understands these:

StatusMeaning
DraftBeing shaped. Not ready for the client.
EstimateScope, dates and price being prepared.
Estimate sentWaiting for the client admin’s approval.
Estimate approvedApproved in Link or in Notion.
In progressThe work is under way.
In reviewReady for the client to check.
DeliveredHanded over.
ArchivedFinished. Clients no longer see it.

Screens show a sample workspace in Link’s new design, which is rolling out. Inline controls are illustrations; use them in your workspace to make a change.
