Choose who sees what

Four roles decide what each person can open. Give everyone the smallest one that does the job.

The four roles

A visitor has no role. They open only pages that are public, without signing in.

The workspace’s creator is a Link admin. A workspace always keeps at least one.

Limit what someone sees

A Link user has All clients or Selected clients. A client user has All projects or Selected projects of their client. “All” includes clients and projects added later; a selection stays as it is until you change it.

Link admins always see every client, and client admins always see every project of their client.

One role per person

In one workspace, an email has one role: on your team or on one client. The same email can have different roles in different workspaces.

If Notion and Link disagree, for example two People rows for one email or one person on two clients, Link blocks that person’s access until it is fixed rather than guessing.

Change or remove access

Open Settings → People.
Use Workspace members for Link admins and Link users, and Client access for client admins and client users.
Change the person’s role or what they see, or remove them.

Changes apply at once and are written to the person’s People row in Notion. Removing someone moves their row to the trash. It never deletes their sign-in, which may belong to other workspaces.

Removing someone does not close public pages.

Anyone with a public Link can still open it. Make the page private to stop it opening for everyone.

See what someone else sees

Link admins and client admins can preview the portal as a role, as a person or as a visitor with View as in the page menu. The preview is read-only. View as is rolling out to workspaces. If you don’t see it yet, it isn’t on for yours.
